JOB DESCRIPTION
OVERVIEW:
The service writer for a diesel mechanic shop is responsible for greeting customers, listening to their service needs, and translating that information into a clear and detailed repair order for the technicians. They prepare estimates, communicate repair progress and costs to customers, and manage the administrative flow of work to ensure high-quality service and timely repairs.

SALARY: $25.00 - $35.00 Per Hour Depending on Experience.

Shop : Reno, NV

Travel : NOT LIMITED To Reno, Sparks, Truckee, Tahoe, Carson City, Minden, Gardnerville and surrounding areas.
KEY RESPONSIBILITIES:

Serve as the first point of contact for all service-related inquiries, both over the phone and in person.

Greet customers warmly, listen to their concerns, and conduct vehicle walk-arounds to document issues.

Accurately translate a customer's description of a problem into a clear, detailed repair order for the technicians.

Provide regular updates to customers on the status of their vehicle's repair, including any changes to the cost or timeline.

Open and close repair orders, track repair status, and ensure all necessary information is entered into the shop management system.

Create detailed estimates for labor, parts, and supplies, and get customer authorization before proceeding with work.

Coordinate with technicians to schedule appointments and manage the shop's workflow efficiently.

Assist with parts identification and ordering from suppliers.

Communicate with customers about recommended services and maintenance and help them understand the benefits of preventative repairs.

Handle billing, process payments, and ensure all warranty and service paperwork is completed accurately.

Maintain organized records of service history and customer transactions.

Address and resolve customer complaints, handling delicate situations with empathy and a positive attitude.

Collaborate with technicians to address any issues that arise during the repair process.

Ensure that customer expectations regarding cost, time, and service outcomes are set and met.

ESSENTIAL REQUIREMENTS:
-
Mechanical Aptitude: A foundational understanding of diesel engines and heavy-duty vehicle systems is essential to accurately document service needs and communicate effectively with technicians.

Customer service experience: Prior experience in a customer-facing role is highly preferred.

Excellent communication: Strong written and verbal communication skills are necessary to convey complex technical information to non-technical customers and accurately relay information to mechanics.

Organizational and multitasking skills: The ability to manage multiple work orders, appointments, and customer interactions in a fast-paced environment is critical for success.

Technical proficiency: Must be comfortable using shop management software, inventory systems, and standard office software like Microsoft Excel.

Attention to detail: Accuracy is crucial for creating correct repair orders, estimates, and invoices.

Education: High school diploma or GED; technical certification or associate degree in diesel technology preferred.

Experience: 3 + years of experience in automotive/heavy duty industry.

Valid driver’s license. w/ clean Driving record
PHYSICAL REQUIREMENTS:
While preforming the duties of this job, the employee is regularly required to:

Work in physically demanding indoor or outdoor environments during all seasons.

Stand and walk for extended periods (up to 8 hours per shift).

Lift and/or move up to 50 pounds.

Use hands to handle, control, or feel objects and tools.

Reach with hands and arms.

Occasionally stoop, kneel, crouch, crawl, or lay on back.

PREFERRED QUALIFICATIONS:

ASE Diesel Certification or other relevant credentials.

Familiarity with DOT and OSHA regulations.​
